Description of duties 

Overall purpose  

The Office Administrator assists the Office Manager in professionally and responsibly co-ordinating the day-to-day logistics and operations of Argyll Ruane (Dunfermline) facility, courses and examinations by performing the following duties:

  • Acting as the customers’ initial point of contact for all enquiries
  • Welcoming students and visitors when they arrive
  • Invigilating NDT and ICorr examinations
  • Supporting the Office Manager and Trainers with administrative tasks
  • Resolution of day-to-day student issues as they arise.

Key performance areas  

  • Ensuring all customers and students receive a friendly and professional service.
  • Liaising with the Office Manager and staff at Argyll Ruane to book students onto courses and examinations.
  • Providing invigilation services for NDT and ICorr examinations to certification standards (training provided).
  • Supporting administrative tasks required by the Office Manager, Group Technical Manager and Trainers.

Essential   

  • Previous experience of working in a customer contact / sales environment.
  • Excellent people and relationship management skills.
  • Responsible, confident and outgoing with a professional attitude.
  • Good communication and interpersonal skills, with an excellent telephone manner and customer service skills.
  • Thorough attention to detail with high accuracy and a disciplined approach to producing work to a consistently high standard.
  • Service orientated – cares about understanding and adding value to the customer.
  • Consistently brings ideas, enthusiasm, and a strong drive for team success.
  • Demonstrates flexibility within a small team and the ability to work independently and resourcefully after becoming comfortable in the role.
  • Proven experience of managing own workload with the ability to manage conflicting priorities.
  • Excellent administration skills, with high proficiency in Word, Outlook and Excel.
  • Ability to multi-task and work effectively in a fast-paced environment.
